PAC Meeting Minutes

Wednesday April 5th, 2017 8:45am - 10:15am

In attendance:

Meeting began at 9:00am

Welcome and Introductions:

Lisa welcomed everyone to the meeting and a sign-up sheet was passed around at the same time.

Approval of Meeting Minutes (February 1st 2017):  all in favor, approved

Approval of Today’s Meeting Agenda:  all in favor, approved

Reporting on past events:

  1. Baseball Sports Lessons: This pilot program was well received.  Kids learned and practiced skills for the first two blocks then they played a game during the last block.  John from Richmond City Baseball Association (RCBA) left a bag (worth $500 retail price) of equipment for us.  
  2. Outdoor Ed Fundraising – $3,437.62 was raised during the last two years.  $1700 will be used for the coach to transport students to and from the camp site.  The remaining balance will help subsidize the cost of the program for all the participating students.  Thank you Olivia & Lily & other parents for your hard work & time.  
  3. Sushi Day – We will reserve the last Friday of each month for next school year.  If there is a Pro-D day or other holidays on the last Friday of that month, then Sushi Lunch Day would be on the Friday before that week.
  4. TD $1000 Grant Application – Alaric has submitted the TD community grant application and will follow up with Brian, the branch manager at No. 3 Rd. & Williams Rd.  Hopefully we can get the grant before June for our Fencing program.  Dynamo Fencing is scheduled to come to school to teach fencing lessons at a cost of $4/student.
    Update:  We have been approved to receive the grant ($1000) from TD Bank to fund the Fencing Program by Dynamo.
  5. Morning Traffic Control Update – Varun is working during the morning and is no longer available to help out.  PAC would like to extend our gratitude to Varun for his help.  If any parents would like to volunteer for this position of morning traffic patrol, please contact Lisa at jwowkpac@hotmail.com.
  6. The 3 Picnic tables has arrived.  Two are funded by PAC and 1 is gifted to the school by the Grade 7 grads of 2016 & 2017.  We are waiting for the City of Richmond for installation.  Alaric will follow up to try and get the project completed before the end of this school year.

Financial Report:

Balance in the General Account is $18,884.25

Gaming Account is $2,586.95.  Everything is paid up to date.

Teachers’ wish list: PAC decided to add a deadline (end of October) for teachers to submit their wish lists for Ms. Latu’s approval.

PAC is contemplating to increase the $10 per student amount for classroom allotment.

Mr. Woo’s wish for a power convertor ($164.64) is approved & PAC will issue a cheque to Mr. Woo to reimburse him for the purchase.

PAC has approved to fund Ms. Froh’s and Ms. Tenpow’s wish for the Games Club ($500) - $150 has been spent for some games on sale.  Games bought will be stored in the library and will be available for use during the lunch time for the Games Club or for teachers to sign out for use in their classrooms during class time.

PAC has received $1,500 in donations this year from parents.

Upcoming Events:

  1. Subway Lunch Day – April 7th is the deadline to order.  April 13 is the Lunch Day. The profits will go to Red Cross.  A total of $77.93 was raised.  Along with a triple match from Aviva, a total of $233.79 will be donated to the Canadian Red Cross.
  2. Clothing Drive: Tues, Feb 18th to Fri, Feb 21st
  3. Yard Sale Fundraiser: Sat, Apr 22nd, 2017 -- 10am to 1pm
     - Helpers needed.  One or two adults per table. Each table will collect money for items sold at the table and items will be grouped in $1, $2, $3, $5, $10 tables.
     - Flyers will be distributed by grad 7 kids in pair to the houses around the school.  Posters, signs & handouts will be posted in Community Centers, Public Libraries, Grocery Stores, and Street Corners & Neighborhood.  
     - Set up is 9:00am, 1:00pm is to pack up.  Truck comes at 2:00pm to pick up everything not sold.  Friday before the yard sale is to sort out items in the gym.
  4. Food/Veg/Milk Program:  Jane cannot help out due to family situation.  We are looking for another coordinator to help Sylvia.
  5. May AGM:  All positions on the Parents Advisory Council is open for election.  Email will be sent home.
  6. Staff Appreciation Lunch: Friday, May 12th
    Ms. Latu will ask staff for requests.
    Administrative Report (Carolyn Latu):
     - Ms. Latu was unable to attend

The meeting was adjourned at 10:20am with Lisa making the motion. Alaric second. All in favor.

The next PAC meeting (AGM) will take place at 8:45am, Wednesday, May 10th , 2017.
