PAC Meeting Minutes - Sep 2023

Meeting Began at 7:00pm

In attendance:

Amelia, Michelle, Belle, Ben, Yvonne, Joyce, Anita, Crystal, Tanya, Belle, Jon, Pamela, Kito, Victoria and Chris

  • Declare the quorum – approval of agenda and minutes adopted
  • Tentatively Set PAC meeting schedule - last Tuesday of each month at 7:00pm
  • Munch a lunch – Wed & Thurs school lunch every week
  • Pizza not HOT enough for the first pizza day (Sept 20,2023), need to call Fresh Slice to delivery at 12noon not earlier
  • Discuss possibility to add more days to school lunch – It is a complicated process that requires the participation of both teachers and students, as well as cleaning and handling. It will likely be difficult to bring in a third day unless other parents get involved. Problems at school include: the custodian needing more work, the order being incorrect, food being dropped on the floor or some children going hungry, etc.
  • Other alternative, juice or dessert for fund raising can be explored

  • Maybe set up google form to sign up for volunteering - keep it simple
  • Meet the Teacher night – Pizza sponsored PAC – everyone enjoyed!
  • Special type of event sponsor by PAC in the previous year such as: Hip Hop, K-pop, artist, tennis, badminton, floor hockey. Winter celebration – 2 ice skating or magician and balloon making at the gym with lots of food. Lunar new year celebration, we had sports days with food truck.
  • Munch a lunch – PAC incurs one transaction cost each time a parent places an order; the fewer times a parent logs in and places an order, the less it will cost the PAC. Encourage parents to order lunches for the entire term, if possible.
  • This year our long-term goal: We want to improve the playground (not the wooden one), which is owned by the district but not financed by the district; therefore, we will need private funding. Consider costs of at least $100,000 to begin.
  • Small item’s goal: for example, upgrade classroom equipment chosen by each school teacher, math club, winter celebration etc.
  • The city owns the wooden playground, so we can contact the city to report any damages.
  • Standard fund-raising events from previous years: gift card sales, pie, cookie, doughnuts, clothing drive, bottle drive, most stop due to Covid and would like to start again, like ice-cream days, hotdog days etc.
  • Fundraising committee – Set up group of parents to help fundraise, please send us an email if you are interested.
  • Grad Committee- Jerry head of grad committee, all parents in all grades welcome. For all events, will need to notify PAC and principle to approve any event in advance. Grad hoodie, grad yearbook, grad celebration fundraisers are some of the items we will be fundraising for with PAC support.
  • This year, we would like to investigate the possibility of creating a Yearbook for everyone, not just 7th graders - to preserve memories.

  • Principle and PAC needs to know any fundraiser event. Need to seek approval in advance, so we do not clash event together.

    • Financial report 2022 to 2023 school year (Sept to Aug)
    • Started the school year with balance of $32,445.
    • Ended the school year with balance of $38,710.
    • Revenue
      • - fundraising of $32,858 (Including food days, outdoor ed, grad committee)
      • - Gaming grant of $4,220
    • Total expenses - $30,813
  • The major activities sponsored by PAC:
    • - KBAM performances, Dance lessons, art lessons-
    • - Classroom allocations
    • - Grade 7 Farewell celebration
    • - Math club
    • - Ice skating
    • - Outdoor education (transportation)
    • - Winter celebration
    • - Lunar New Year celebration
    • - Outdoor garden project
  • For the 2023-2024 budget, proposed revenue is around $19,000 (including food days and fundraising for winter celebration, lunar new year & staff appreciation). Proposed expenses are around $19,000. As mentioned this is just a starting point. We will need to consider some of the items discussed like the long term goals of new playground.
  • Coming year – arts or sports or dance class, staff appreciation lunch, Technology upgrade, projectors for classrooms will be funded by the PAC
  • Other activities will be planned after first PAC meeting
  • Budget is a starting point for the start of the school year, more fundraising event will be needed for other long-term goal.
  • Last June, we start Breakfast Club and would like to continue. Kid learn breakfast is important to start the day and is good for kids that is less fortunate. PAC will get bread donation from COBBS and PAC will also provide extra food when needed. Propose to do it once a month.

  • Jessie Wowk has a WhatsApp group and a WeChat group; the previous PAC chair carefully monitored the chat group; the new PAC wishes to alter this. Parents should peruse school emails and the school newsletter; parents should be aware of current events through the newsletter. Respect the code of conduct in the conversation group and refrain from shaming or complaining about other parents. All complaints should be directed directly to the school.
