PAC Meeting Minutes - Oct 2022

Date: October 25, 2022

Meeting began at 6:35pm.  Meeting held in-person and online via Microsoft Teams

Welcome and Introductions:

Alaric welcomed all the parents to PAC meeting
 

 Financials

    - As of end of Sep, we are in reasonably strong position

    - Overall balance for General Account is $40,000

    - Gaming account, we have around $8600

    - Gift cards we have $950

    - In Sep, we received gaming grant from government; every year we apply for it; provides some money for our school to use for the benefits of the students; this year we got $4200

- Balance sheet is inflated because when parents pre-order the food, we get the money upfront but some of the money is for purchasing the food day items (i.e., expenses not incurred yet)

    - In Sept, we had 3 food days and have been pretty good revenue and profit from them

        - Sushi days $200 per sushi day

        - Pizza days $350 per pizza day

- World Teacher Day

    - PAC provided teachers with treats that day, with coffee and donuts to appreciate teachers and staff

- Food Day Updates

    - Food days are running smoothly, 8 days a month

    - Starting last week, we invited a couple of parents to come to supervise how food is served.  They provide extra support during PAC lunch days.

    - Take some work off our noon hour supervisors (only 2 of them)

    - A bit of change from last year as teachers were eating lunch with students supervising

    - Now gone back to normal lunch hour supervision

    - Any parent can volunteer

    - Opening up for first two weeks, and then will open up November sign up at the end of the week

    - Thank you to those parents who have volunteered their time

- Food Vendor Policies

    - Families are more than welcome to send lunch from home but at this time, we are only open to allowing certain approved vendors

- Fruit, Vegetable and Milk Program

    - Thank Eva and Charmain for heading this program up, and washing and distributing

- Spirit Wear

    - Those orders have been submitted to our vendor who deals with apparels and they are experiencing some issues with supply but have assured us that it is under control

    - Should be coming in the next couple of weeks

- Extracurricular Activities

    - This year we have the opportunity to invite outside teachers and coaches to come to the school

    - We have asked for a few recommendations and have received some proposals

    - e.g. dance programs, art programs

    - We will need to work out the timing of the programs

    - This is for the kids that may otherwise not be able to participate in something like this

    - Stay tuned while we try to iron out how to fit this in to everything else that is going on at the school right now

- General Fundraising (Mr. Cooper’s Pies)

    - Fundraising partnership with Mr. Cooper’s Pies

    - Link to their website was sent out last week as well as posted to our weekly newsletter

    - Families are invited to purchase pies; quite convenient; come in vacuum seal, frozen state; keeps for months; open packaging and throw in oven

    - Fun way to raise money and also convenient

    - Go onto their website and on checkout, there is a “Jessie Wowk” for selection as delivery format. Delivery to the school is Nov 8.

- Outdoor Ed 2023 Fundraising

    - Last year, outdoor ed did Krispy Kreme twice

    - Brief background: Grade 6 and 7 year end trip (3 nights) at Squamish Camp

    - Comes out to be $400-$500 per kid

    - Used to do fundraising in terms of hot dog day (once per month) 

- Grade 7 Farewell Fundraising

    - Organized by Eva, involving the kids

    - First activity is the Rice Krispies, and already started taking pre-orders

    - There will be one fundraising every month

    - Fundraising will be used to decorate their ceremony, lunch, yearbook, legacy gift, etc.

- Other Items

    - Boosted some of our allocations this year because of food days

        - Classroom allocation is boosted from $12 to $14

        - $300 related to arts-related programs for teachers to apply for

        - Grad allocation boosted from $40 to $45 per student

        - We are in good financial shape to continue to support our students

    - Mr. Angman is starting Math Club again and PAC is fully supporting it, est. at $420

    - PAC had helped school with upgrades, e.g. library renovations, technology upgrades, etc. to benefit our students in terms of their learning journey

- PAC 101 Workshop

    - Sign up by the end of this week

 

Principal’s Report

- Land Acknowledgement

    - Gesture to be inclusive and respectful of our first peoples

    - You will hear a few sentences before the start of each PAC meeting

- Halloween Plans

    - Halloween events at the school include: bring in a pumpkin from home and participate in having some fun in their classroom

    - Students welcome to wear costumes, but not a expectation

    - Will have Halloween pumpkin on display

    - Treats are allowed, can open them at home

    - Guidance on items include: prepackaged and nut-free

- FSA (Foundation Skills Assessment)

    - For Grade 4 and 7 students just to provide snapshot in how they are doing in numeracy and literacy

    - There is online component and in-class component

    - Want families to know that this is just a snapshot to check in where the students are with regards to their learning

    - Doesn’t reflect how they are doing overall

    - They will be completing them end of next week, and goes to District on Nov 17, then mid- to late-Nov the parents will get results

    - Some students will not write, including ELL and some students have learning considerations, etc.

- Remembrance Day

    - Will have school assembly

    - Looking at opportunities to engage with families to see how we can come together a little bit more

- Emergency Drills

    - Had one today to ensure that our students know what to do

    - All learners walked to the field; took 4.5 mins and had all students accounted for

    - Each year, we have 6 fire drills, 2 earthquake drills, 1 hold and secure and 1 lockdown

    - Will provide updates on when it will happen so that parents can have conversations with kids

- Rainy Days

    - Send kids with rain jacket and boots

    - Will encourage kids to go out unless weather becomes a safety concern

- Grade 6/7 Volleyball

    - Thank you to Mr. Angman and Mr. Woo for taking it on

- Health and Safety

    - Shift from COVID 19 to communal disease management

    - Thank you to families for doing due diligence when keeping students home when sick

- Learning Update Info Session

    - Recorded and will be shared with families

    - Will have a transition period

    - Do not hesitate to connect with your child’s teacher and Mr. Daum with questions

- Winter Celebration

    - Will have some celebration and have green light to do it

    - Possibly bring families to the gym or skating night

    - Ms. Khoo is getting something ready for band
