PAC Meeting Minutes - Apr 2022

Financial Report

  • March
    • Pizza days, Teriyaki days, Sushi days
    • Fundraiser for outdoor ed
    • Each brought in fair amount of money
    • $21,700 in general account
    • $8000 in gaming account
    • $2800 in gift cards
      • Purchased additional gift cards for Fresh Slice for paying for pizza days
      • Pay $2000 for $2500 in actual gift cards (gained $500)
    • Krispy Kreme
      • Sold $1700 in donuts, after cost of donuts and gas, made roughly $950
    • Pizza days bring in $350 profit per pizza day, so these are really good fundraisers
      • Participating rate of 75% (very high)
    • Sushi day and Teriyaki day is slightly less than what we normally see, because people trying it out
      • Sushi is $150 in profit
      • Teriyaki is $200 in profit
      • 65% participation rate (still high)
    • Pre-pandemic days, pizza days is only bringing in only $150 in profit
    • Just last week, our orders reached 300 slices, this is equivalent to 30 boxes of pizza
    • There is a possibility of adding Fridays if it works out with school, and order from another caterer; doesn’t have to be every Friday
    • Possibility to explore a Smoothie day, can be with lunch or can be end of day
    • Province-level have some discussion on possibility changing the food guidelines that may remove e.g. pizza day, but lots of push-back from PACs
    • Usually the tastier the fundraiser, the more successful
    • Have new flavor for pizza à BBQ chicken (it outperformed cheese flavor)

Band Music Donation

  • Ms. Khoo informed us that there is big donation of music for Jessie Wowk and she curated them and it was 5 filing cabinets of music sheets
  • Came from Delta Music, from a few teachers that are retiring
  • Dollar value is around $4000 to accumulate that much music
  • She suggested making donation to these teachers and PAC decided to donate $200 honorarium to thank them for their generosity; cheque will be delivered to Ms. Khoo this Thursday
    • School will match with $200

Mural Project

  • Defer to Mr. Daum on this in “Principal’s Report”
  • Possibility to have staff appreciation on the same day (e.g., meal from PAC to staff)

Extracurricular Activities

  • Possibility of bringing in Ultimate, maybe in April or May
  • Voted on by the staff and will defer that to Mr. Daum

Outdoor Ed

  • Gr 6-7
  • Hoping booking can be made for site that they normally go to
  • For Spring 2023, but should start looking into
  • Purpose of Krispy Kreme fundraiser is for this
  • Spend 2-3 nights with counsellors and filled with activities prepared for them
  • Bonds the kids together, kind of like their graduation trip, very memorable for the kids

Grade 7 Farewell Ceremony

  • Previously did semi virtual ceremonies
  • Nothing compared to an in-person ceremony
  • Defer to Mr. Daum on this because it involves Health and Safety
  • Know that other schools are doing in-person ceremony
  • Encourage Grade 7 parents to form a committee to decide decorations, what food to serve, yearbook, etc.
  • Always been a graduation committee that is formed around this time
    • Yearbooks à pictures, baby pics, writeups
    • Should form soon as June is coming up
  • Yvonne is working on the yearbook
  • Who is taking the lead on the graduation ceremony?
    • Can use our chat group for Div 1 and 2 for Grade 7 parents to work on planning this event
    • Nothing formal needs to be done, just a few parents come together to oversee, and pre-ordering some stuff, what kind of decorations need to be done
    • Once we get the confirmation then the committee can execute those plans

PAC Executive Succession Planning

  • Every year there is an AGM, will occur at our next meeting
  • PAC gets to vote on the PAC execs for the coming year
  • A lot of decisions we make, we share with the rest of the committee
  • If any of parents are interested in taking on any of these roles or joining us as a Members at Large, then can nominate others or themselves
  • Submit these names so that we can vote on this in May
  • Jon and Alaric have been there for 3 years (normally is around 2 years)
    • Treasurer is an important role because he keeps the books
    • It is a commitment
  • We have until mid-May to accept nominations to be involved in the PAC executive team
  • Even if parents want to Co-Chair or shadow someone, that is something that is possible as well
  • Will send out email to school community about this and to explain the responsibility of each role

Principals’ Admin Report

  • Thank you to families
  • Jan to Spring Break stretch was tricky and good collaboration between parents and school
  • Received a lot of information coming back from Spring Break about health and safety protocols; some of the few changes since Spring Break are:
  • Masks are optional for students and staff
    • A conversation about children and parents
    • Some families are ready, and some are not
    • Continue to respect everyone’s decisions
    • So far, school community has shown great respect
    • If any questions, don’t hesitate to ask
  • No restrictions on gatherings
    • Can plan somethings that can gather as a community
    • Grade 7 farewell
    • Band concerts
    • As we explore these pieces, while we do have green light to do them, we are not in a place where we are outside the pandemic; we are in the grey area
    • Want to keep it safe for everybody
    • More to come about assemblies etc.
  • Are able to welcome guests into the school
    • Before, only district staff can come into the school
    • Some exceptions, but from most part, guests are not allowed in school
    • Do ask that we connect with the teacher first as there are people with different levels of comfort
    • Good to arrange for a meeting first
    • Give time to have everyone spread out first
  • Don’t want to communicate that you are expected to be there for the gatherings (given different levels of comfort)
    • Possibly a hybrid that have virtual and in-person
    • And somethings can be held outside
  • Washing our hands regularly
  • Practice proper respiratory hygiene
  • Continue to have separate entrances
  • Not sharing snacks
  • Continue to be diligent with daily health check

- Track Attack

  • Dialogue as staff to have Track Attack
  • Track and field activities
  • Long-standing tradition to do this in Spring, but not during pandemic
  • Third block of the day as rotation to participate in this event
  • Likely start in the week after next
  • Dialogue to participate in track meeting (early May or mid-May)
    • Every year pre-pandemic will have district track meeting and have 4-5 schools participate, and have competition at Minoru Field
    • Our students would participate and have support in community (parent drivers, or buses)
    • As staff, talked about comfort levels
    • Grade 4-7
    • It is not an expectation to participate in this; parents have different comfort levels (students would come to school, but does not need to go to the track meet)

- Mural Update

  • Unveiling is coming on Tues May 24, unveiled to public
    • The Friday before is the Pro-D
  • Every child participated via a sunflower
  • Families are invited to participate, with distancing

- Sports Day

  • Had eager staff asking about Sports Day last month
  • Demonstrates how staff are feeling about bringing this back
  • Sports Day on June 3, will have Grade 7 volunteers running stations
  • Will think about how to do this safely

- Outdoor Ed

  • Look forward to doing it 2023
  • So far, been in contact with Camp Cheakamus
  • Likely will be final day in May
  • 4-day, 3-night trip
  • Meets a lot of criteria based on our curriculum, huge educational component
  • This is contingent on how next year goes
  • Thank PAC for already starting fundraising on this

- Practicum

  • Jonathan Chan, began his long practicum here
  • Ms. Pivko has been working with Jonathan Chan, recently Ms. Sun
  • Working with Div 3, is getting up to speed
  • Wish him the best in his practicum

- Parking Lot

  • Mindful that Mr. Daum tries to be there in morning and at of the day
  • Morning, appreciate parents are parking at the stalls and not parking at the drop-off lane
  • Understand that it is harder for end of day as everyone comes out at the same time
  • Thank everyone for keeping parking lot safe

- Band Music Donation

  • Thank PAC for generous donation

- Grade 7 Farewell

  • A lot of details have to emerge for that
  • Lots like we will be able to do this in person

- End of Year Assembly

  • Lots like we will be able to do this in person; keeping in mind parents have different comfort levels

- Ultimate

  • Staff has voted yes on this

- Big Buddy Program

  • Started to look at family teams in preparation of Sports Day
  • Having an intermediate class partner with primary class
    • Primary would have mentor
    • Immediate would have leadership
  • Starting with family teams
    • For Sports Day
    • For other things leading up to Sports Day
  • Despite pandemic program, kids in Gr 7 across from Gr 1s and Ks are doing very well and saying hi and acknowledging the younger kids
